Discussion How do you keep work messages from interrupting you without missing the urgent ones?
A work message might be “need this today” or just someone saying thanks. My phone treats them the same.
I’d like to leave messages until a break, but sometimes there really is something waiting on me. So I check, and it’s a thumbs-up.
Has anyone found a setup that works for this? Focus modes seem easier to set up around who’s messaging than whether the message actually needs me.

The tricky part is that the same person sends both urgent requests and “thanks.” It might help to agree on a separate route for genuinely urgent things, like a call, so every chat notification doesn’t have to be treated as urgent.

It depends on which app you use for work communication. For example we use Slack for text, Zoom for video calls and Outlook for emails. On top of that I use Focus modes to mute and unmute apps depending on the time of the day. All the three main work-related apps are unmuted ONLY during work hours.
SLACK -
- I have a few people under VIP so I always get notified by their messages even when Work Focus is off or my notifications are turned off during holidays.
- Under notifications setup I’ve only set it up for @ mentions to me and DMs.
Zoom -
- Only calls and meeting notifications are on and not for texts as we don’t use it as a primary communication method for texts.
- I glance through if there are any messages after each call on Zoom.
Outlook -
- No notifications for Outlook specifically because emails generally don’t require immediate response.
- I check a few times during working hours and the rest of the day.
This really works for my schedule and type of work.

I set a focus mode that only lets certain contacts through, then check the rest when I take a break
