Community FINAL UPDATE: The Billing Escalations team reviewed my ticket and granted a FULL REFUND! We won! 🎉

Hey everyone, I have amazing news!

After being strictly denied twice by the first-line support agent (Brian), I followed your advice, demanded a manual review, and escalated the ticket to the management team.

Just now, Shahan from the Billing Escalations team took over my case and authorized a full $24.00 refund back to my card as a one-time exception! The official Stripe receipts have already hit my email inbox.

Lesson learned: If you get auto-charged on the same day for a historically frozen/locked account, do not accept the automated copy-paste rejections. Ask for an escalation immediately.

Thank you so much to everyone who supported me, upvoted my previous thread, and helped me stand my ground. You guys are awesome! 🤜🤛

Questions Anyone using Notion to track adult learning or certification goals?

• Upvotes

Back in school at 38 for a cybersecurity cert while working IT support. My brain is full of ticket queues and now also subnetting. I've been using a simple Notion database to track modules, lab hours, and exam dates, but I feel like I'm barely scratching the surface.

Questions Home maintenance in Notion: do you separate repair history from the next task?

Say a dishwasher has been repaired twice, but also needs a new service appointment. Would you keep all three entries in one database, or separate the completed service history from the task to book the next visit?

Separate databases seem cleaner for keeping the dates and costs intact. One database seems easier to capture into, especially on a phone.

For anyone keeping home records in Notion, what has held up better once you've had a few years of entries? Any annoying edge cases with recurring maintenance or replacing an item?

Venting UPDATE: Denied by support, launching a daily tracker until Notion reviews my logs

Since support refuses to escalate my ticket to a billing manager, I am not giving up.

My workspace was strictly locked and suspended during the unpaid period, yet Notion charged me $24 for it retroactively today and refuses a same-day refund. They are literally making me pay for a period when the service wasn't even provided.

I am a broke user fighting for a fair review. I will be updating this specific Reddit thread every single day with the current status until a real billing manager manually looks at my logs.

Day 1: Still no refund, workspace downgraded to Free, waiting for a human response.

Formulas I stopped forgetting to chase late invoices with one Notion formula

I'm a freelancer and I kept losing track of who still owed me money. So I added a "Next step" formula to my invoices database in Notion, and now each invoice tells me what to do.

How it works:

  1. Days overdue: only counts invoices with status "Sent". Drafts never show as late.

  2. Next step: based on how late the invoice is, it shows one of these:

- Send invoice (still a draft)

- Wait (not due yet)

- Friendly reminder (1+ days late)

- Second reminder (7+ days late)

- Final notice (14+ days late)

  1. Last reminder date: after I send a reminder, I set it to today. The formula waits 5 days before asking me to send another one, so I don't spam clients.

  2. On the Clients database, a rollup shows how much each client owes me and if they usually pay late.

Now I just open one filtered view each morning ("Next step" is not empty) and send what it says. Takes 2 minutes.

Happy to share the exact formula if anyone wants it. How do you track late payments?

Questions Using Notion

Hello all!

I am a user of Notion for a long time, but do not use it to its full potential I think. I am on the free plan, and thinking of upgrading.

My problem mainly is that I want you use Notion as a tool that manages almost everything (habits, trackers, projects, learning, notes) but It’s kinda messy.

I would like advice on how to handle most of that stuff in Notion and eliminate the other apps from my workflow.

How do you manage Notion? Is there any point in going a plan higher?

Thanks!

Questions Cursor keeps moving

The cursor that my text comes from keeps moving. Usually it happens when I use a contraction or a random word.

For the word, it will move the cursor back a few characters and It'll take me a little while to realise that I'm writing with a few extra letters in front of my words. (Ob fjevrjsbd |stacle)

For the contractions, I'll put the word down without the punctuation (didnt) then press the word in my spellcheck bar to put the apostrophe in (didn't). When i do that the cursor should go to the end of the word, but mine doesn't, so I'll end up with the rest of word in front of what I'm writing (didn'|t).

Is there any way to solve this cause it's really annoying?

Questions AI dumber and slower...

I have been away from Notion AI for roughly one month, and I have noticed that the AI has gotten dumber and slower to respond. Is it only my feeling or does anyone else have been noticing this?

Databases the 3 database client tracker i ended up with after overbuilding one (freelance setup)

my first freelance crm in notion had like 25 properties and i stopped updating it after two weeks. this is the stripped down version that actually stuck, in case it helps anyone setting one up.

3 databases, all related to each other:

  • clients: name, status, email, source (referral, cold, etc), next follow up (date)
  • projects: name, relation to client, status, quoted amount (number), due date
  • touchpoints: date, relation to client, type (call, email, meeting), one line note

status on clients uses the status property with just: lead, talking, active, past. i tried 7 stages before and it was pointless, i never knew if something was "proposal sent" or "negotiating".

the views that do the actual work:

  • clients board grouped by status. drag cards when things change, thats it
  • a "follow up" table view filtered to next follow up is on or before today. this is the one i open every morning
  • projects table filtered to status is not done, sorted by due date

rollup on clients pulling the sum of quoted amount from related projects. gives you a rough "how much has this client been worth" number without a separate finance setup. (example only, if you track invoices separately just roll up from that instead)

the habit part: every time i send an email or have a call i add a touchpoint and bump the next follow up date. takes 20 seconds. if i skip that step the whole thing rots, so i keep a touchpoint button/template ready with the date prefilled.

things i cut that i dont miss: lead score, tags for industry, separate contacts db for companies with multiple people (just put them in the note until it actually becomes a problem).

curious what other freelancers here track that i'm missing. do you keep invoices in the same workspace or in a separate tool?

Questions I tried using fewer productivity apps for a week and it was surprisingly helpful

I have accumulated quite a few productivity tools over time. One for tasks, one for notes, one for calendars, reminders on my phone, and various AI tools I occasionally remember to use.

The problem is that managing all of them starts feeling like another project.

For a week, I tried simplifying everything and focusing on just my calendar, a basic task list, and a few reminders. I was less distracted, although I did miss having some things automated.

Now I'm wondering whether the answer is fewer tools or one assistant that helps connect everything.

How many productivity tools do you actually use daily? Have you found a setup that stays useful without becoming too complicated?

Questions Charged for a "frozen" subscription period and denied a refund on the same day

Hello Guys

I wanted to share a very frustrating experience I just had with Notion billing.

My workspace invoice was generated on September 26, 2026. Because my card had no funds, the payment failed multiple times and my workspace was effectively locked/frozen. I am a personal user and did not use any paid Business features during this time anyway.

Today, on October 15, an automatic retry went through successfully, and Notion charged my card $24. I immediately downgraded my workspace to the Free plan within minutes of the charge and contacted support right away to ask for a refund.

Support (Brian) denied my request twice. Their reasoning is that the 3-day refund window starts from the invoice creation date (Sept 26), not the actual transaction date (Oct 15).

Essentially, I am being forced to pay for a time period during which the service wasn't even active or accessible to me because of the failed payments. I requested a manual review/escalation, but the agent just copy-pasted the automated terms of service policy again.

For me, $24 is a significant amount of money right now. It is deeply disappointing to see such an unfair billing system from a major company. Has anyone faced this before? Is there any way to get a real billing manager to look at this?

Questions File-based Notion alternative

Does anyone have the desire for a file-based Notion alternative?

Notion x Obsidian. In the cloud with nice editing like Notion but based on files like Obsidian (markdown, csv, etc.).

That lets agents just dump whatever data is needed in there.

I can't store my Excalidraws in Notion, for example. And neither can I store my Claude video projects.

Questions For people who use digital and paper system together, what do you use notion for and what do you use pen and paper for?

I am having difficulty visualizing a system that balance the two since notion is pretty powerful. I want some paper element too since I want to use my fountain pens more. I have my calendar planner on paper and that is it for now.

What is your system like? And for what reason did you choose to use a diary for example in a ditigal environment over the paper one? Thank you for any answers

Questions NOTION : Version history , is this acceptable or what would you do?

We've gotten a large database in Notion. This summer they've updated their version history system. We've noticed when they changed, we suddenly lost all our version history , and now are forced to use the snapshots instead of updates to see what's changed. Lot of data is also gone from the updates/history. Seems like they've lost the data theirselves.
Is it acceptable that they've lost ist ?

July–August history and the snapshot attributions

  • The newer version-history system began capturing data around August 26, so it won’t have detailed history for July or most of August. The older entries you’re seeing are legacy snapshots. Those snapshots can group changes together, and their author list may include people who edited other rows during the same snapshot window. That means they may not reliably show who changed a particular record.

Questions Quick Notes App paired with Notion

I have been finding Notion too slow to capture those rapid notes I want to capture throughout the day. However, Notion is where I want to warehouse and work with them.

Any recommendations on a light/fast notes app that integrates easily with Notion?

I see a lot of people on here who post random templates from time to time and promote stuff, so I figured I would share one of my favorite templates over the years. This is the ICP template, or ideal customer profile.

It's got built-in buyer personas, the marketing 4s, a full SOP section, and even a section where you can put yourself in the buyer's shoes.

Resources bulk applying page templates to records that already have content - lifetime dealio thingie.

I'm sure somebody's going to say that I work for them. I don't. I just have a pain in my ass when it comes to Notion: changing my page template and then having to go back and change it in all of these other records (because I can't bulk apply a page template to a record that already has content in it)

my biggest issue is synced blocks. They can't have self-referential tables in them. So that means there has to be a page template that has that self-referential table in it. The downside of page templates is that once you've applied a template, you have to go back and manually delete all of the content and then reapply the template. This is a pain if you have to do this for more than a couple of records at a time.

in all of my research I came across something called BulkNotion and it's usually really expensive. It's got a lifetime deal running right now for $60 and I thought somebody else might have my same pain point and want to know about it. I have no idea for how long it's running. I just know that when I have a page template that I edit (because a person changes their mind sometimes), it's really nice to just apply it to all the records at once.

Anyway you get 3,000 records a month and it is easy peasy lemon squeezy. If you don't want to pay $20 a month for Claude or for Notion AI and you don't want to have to set up a self-hosting implementation of n8n just to do this one mass record update every now and then but you still need to update a ton of records all at once with a new page template, I thought I would throw a rescue raft out there (so you don't have to go through all the research like I did).

It was smooth and easy. I imagine if you're a person who has clients that you set up Notion stuff for and then leave them to their own chaos, it's something you might want to know about.

Questions [Help Needed] Has anyone successfully redeemed the 3-month Notion Business LinkedIn offer? Struggling with payment verification in China

Hi everyone!

I'm from mainland China, and I'm hoping someone with experience in international payments or Notion subscriptions can help me solve a frustrating problem.

Recently, I purchased a promotional redemption code for the 3-month Notion Business trial offered through LinkedIn Premium from a third-party seller for about $3.50.

The code takes me to Notion's official redemption page, but I can't complete the activation because it requires a supported payment card.

Here's my situation:

- I currently have an ICBC (Industrial and Commercial Bank of China) UnionPay debit card.

- I also obtained a Roogoo virtual prepaid card and funded it with approximately 10 USDT.

- Unfortunately, Notion doesn't accept my Roogoo card.

- The seller hasn't been able to provide a working solution yet.

- I'm considering applying for a Visa or Mastercard from a Chinese bank, but I'd like to hear from people who have actually succeeded before spending more money.

My questions:

  1. Has anyone successfully redeemed this specific 3-month Notion Business LinkedIn promotion?

  2. Which virtual cards or Chinese-issued Visa/Mastercard cards have actually worked with Notion's payment verification?

  3. Does Notion reject prepaid cards automatically, or could this be related to Stripe, 3D Secure, or billing address verification?

  4. Is there any legitimate and reliable payment solution that doesn't require opening an expensive international bank account?

I understand that the LinkedIn promotion may have eligibility restrictions, and I'd also appreciate clarification on those.

I'm happy to offer a small thank-you payment of around $3 USD (20 CNY) if someone can help me find a legitimate, verifiable solution that actually works.

I'm not looking for stolen cards, fake billing details, or pre-made accounts. I just want to activate the trial on my own Notion account through a safe and reliable payment method.

It's a relatively small problem, but I genuinely enjoy learning how to solve these international payment challenges.

Any advice, successful experiences, or useful resources would be greatly appreciated!

Thank you so much for your time and help! 🙏
