Do you manage vending machines on desktop or tablet, or just mobile?

• Upvotes

Hi everyone, I’m a Product Manager with six years of experience in vending machine software and hardware, and I’m currently preparing to enter the US market.

I’d love to get some insights: Do operators use desktops or tablets for management, in addition to mobile phones? My hypothesis is that operators with larger fleets might prefer the larger screen of a computer to visualize equipment status and sales data, as well as to optimize restocking routes.

I’d really appreciate your feedback based on real-world usage. My goal is to ensure I’m solving actual pain points for operators.

Vending Machine Idea Survey

Hello, I'm a business student working on a potential business idea for my entrepreneurship class. While researching and developing a business plan, I've been asked to create a survey to gather community feedback and get real answers about our product and whether people would buy it. Thus, I've created a survey and am asking for your feedback/help.

If you were stuck on an outing, like at the beach, and forgot an "essential" item, would you buy it from my vending machine at my prices?

What to do when a vending location isn't profitable anymore

When a location stops making money, it’s important to know whether it’s worth fixing or time to move on. Look at the sales trends, operating costs, and what’s actually selling before making that call. Not every location is worth holding onto just because it worked in the past. How do you decide when to pull a machine from an underperforming location?

Does anyone else struggle to keep track of vending stock?

I run a few smart fridges in Essex and ended up having to build an app for myself because I was constantly losing track of what I had in the garage, van and storeroom, and can’t afford the ridiculous costs of tracking software that’s available currently. Nayax is great for seeing what’s in the machines, but it doesn’t really sort out the stock sitting on the shelves.

I was using spreadsheets and getting things wrong, so I’m currently building an app called Backstock to handle it all in one place. Expiry dates, shopping lists, machine pick lists, stock levels and Nayax sales imports. Lots of it will be powered by AI, so just scan receipts and it will add your stock automatically along with your costs.

I’ve heard some of the bigger stock-management systems can cost £500+ a month, which seems mad for someone running a handful of machines. I want to make something affordable for smaller operators, but useful for bigger ones too.
I’m looking for around 15–20 operators to try it on their actual restocks for two weeks from 17 November and tell me what needs fixing.

It’s free during the beta, and testers can keep it for £4.99/month afterwards if they find it useful. I especially need Android testers for the Google Play launch.

If anyone fancies giving it a go, signup is in the comments!

Also curious — what are you all using to track stock at the moment? Spreadsheet, another app, or just keeping an eye on it? I’m

The Hard Truth About Getting Into Vending: It Takes More Work Than You Think

Vending can look like a simple business from the outside, but getting started involves more than just buying a machine and filling it with products. Finding the right locations and putting in the work are a big part of the process.
Different machines may offer different features, but the equipment itself is only one piece of the puzzle. The location, day to day effort, and how you manage the business all matter.
For anyone thinking about getting into vending, it’s worth understanding the work involved before investing in equipment.

Ongoing expenses of your vending business (repost from r/vending)

Hi operators! I was wondering how your businesses have been impacted by the rising fuel costs.

What is your approach to keeping expenses low (moving to better-earning locations, closing down low-performing sites, optimizing refill routes or something else)?

Thanks in advance for the comments; I really appreciate it.

Advice

What would you pay? Super new to this. I’ve scored an apartment location that has 2 laundry rooms and they want 2 machines in each, so 4 total. 1 will be drinks/snacks and the other is laundry/body supplies.

Each laundry room is open 24/7 and they have 80 units that tend to each room, so 160 units total.

They want a monthly rent fee. What would you pay? They made it clear they expect more than something like $25.

Built a storeroom stock app for vending operators, looking for beta testers (free)

I run a few smart fridges in Essex, and my card reader is great at telling me what's in the machines. What it doesn't do is tell me what's sitting in my storeroom, garage and van, what's about to go out of date, or what I actually need to buy before restock day. I was doing that on a spreadsheet and getting it wrong.

So I've built an app for it called Backstock. It's aimed at operators with a handful of machines rather than big route businesses.

What it does:

- Tracks stock across your storeroom, garage, van, etc.
- Keeps best-before dates per batch and always uses the nearest date first
- Builds your shopping list from your own reorder levels and recent sales, rounded to whole cases
- Pick lists for the machines you're visiting today
- Imports Nayax sales reports
- Scans receipts and barcodes so there's less typing
- Puts restock days in your calendar with the shopping list added the day before
- Spots slow sellers and the money tied up in them

What I'm after: 15–20 operators to use it for real restocks for at least two weeks from 17 November, and tell me what's confusing, broken or missing. iPhone and Android both welcome, but I especially need Android testers, because Google requires 12 people opted in for 14 days before a new app can launch.

What you get: free Pro access during the beta, then the founding price for life (£4.99/month instead of £7.99) if you want to keep using it. (We also offer the equivalent in dollars for our US operators)

Sign up here (takes 2 minutes): https://forms.gle/NDSW8JgWqSYQXm4w7

Also happy to hear how you all track storeroom stock now, even if you don't want to test. Spreadsheets, apps, back of an envelope?
