Xtime Users

For xtime users, does anyone else's service department send quotes back as if they have sold jobs on them but in reality everything is still blue/unsold not green (sold) or red (declined) or does my service department have absolutely zero clue how to use this dogpile of an electronic quoting system?

Xtime is trash

I agree. I want to punch a hole in my monitor on a daily basis. But its what the overlords want us using so we dont really have much of a choice. I miss Reynolds and SPG not gonna lie.

Cdk got a similar setup to that if youre on them

I used CDK Service at my first dealership parts job, lost that job while they were transitioning to xtime

Damn

We were on xtime and switched to CDK Unify & Simple Pay (we were already using CDK Drive since when it was Reynolds) and part quantities/$ amounts kept reverting to 0 after parts quoted them but before the customer approved the job. 2 weeks ago, we had a Volvo ticket get approved with a $2300 part missing and a VW ticket with a $600 part missing in the same day. The next morning our service manager switched us all back to xtime.

Xtime is trash however if the asshats in Service would even TRY to use it correctly, it would function just fine. I’ve used worse piggyback systems, I made it absolutely fucking certain that I got management access so I can move RO’s to where they need to be so we can continue to do our jobs. The major problems stem from the service department, not necessarily the program.

Only problem we have is that half the techs use Xtime, Half the techs use paper quotes, and 100% of the service manager doesn't care enough to get everyone on the same page.

If the service manager won’t make a choice you need to. Tell everyone one or the other but not both

1

u/YankeeMoose Dealership parts 2d ago

Not an option unfortunately.

1

u/FleaSpiritual 2d ago

Why not?

2

u/YankeeMoose Dealership parts 2d ago

"We've always done it this way." For one

Techs don't like us telling them what to do, for another.

Service manager will get very bitchy if we try.

1

u/FleaSpiritual 2d ago

Fuck the techs and service manager then lol. But if no one gives a shit I guess you’re fucked

Ours always has the “sold” box checked but we won’t bill or give out parts unless it’s green and in “repair” status.

I actually like XTime. Did this answer your question? Let me know what other issues you’re having and I’ll see if it’s anything I’ve seen in the past 10 years working with it. There are a ton of features that aren’t at the dealer level.

This came back to parts with the push notification pop up and email "xxxxxx has lines with sold parts waiting to be picked up" but nothing is sold on the estimate

2

u/DavidActual 3d ago

That is weird. I don’t do notifications so I can only assume they approved it to get total pricing on a specific line then flipped it back. This is the reason for our “repair” status rule.

1

u/DavidActual 3d ago

Do you have fixed pricing for the cabin air filter and the 15k service? I have my cabins at 40 (same part numbers as you) and we do oil changes for $50. My parts team wouldn’t have needed to quote any of this since it’s fixed. This is a back end option you’ll need your rep to set up. They send over a spreadsheet and you link code to price.

I know each advisor has a laminated sheet on their desk. Dont know if they actually use them. Our service department doesnt seem to know what they're fucking doing half the time anyway

3

u/DavidActual 3d ago

Anything on that laminated sheet should be defaulted to NO P&A in xtime.

Click into the timeline though

1

u/BatmanTaco 2d ago

This is another one that gave the "lines with sold parts" pop up but nothing was sold. It looks like the tech (omitted the name) sent it back to Review status?

1

u/No_Durian_3444 1d ago

I need the whole thing.

Parts Director here. I solve problems for a living.

Also, mine is wildly misconfigured right off the rip. It will notify you a tire rotation was sold if someone doesn't go through and properly customize and tag the labor operations correctly.

How do I get this pile of dog shit of a website to stop magically deleting quantities and part numbers while I'm in the middle of typing?

1

u/DavidActual 2d ago

That’s because your tech(most likely)is still in it making changes. There is a known bug where it drops the quantity down to one unless it’s the last thing you change before saving.

3

u/macdubz415 2d ago

Yep, it’s why I always use the chat box to confirm.

1

u/BatmanTaco 2d ago

They'll send jobs that are actually sold back as green, most of the time. But its the times that they get sent back as "lines with sold parts" but nothing is actually sold is whats irritating

2

u/UnSmarted 3d ago

Yes, constantly.

1

u/BatmanTaco 3d ago

Glad its not only us then

3

u/UnSmarted 3d ago

Even better when they approve the work and DONT send it back to us!

3

u/BatmanTaco 3d ago

My favorite was when we first started using it and service's favorite thing would be to tag us IMMEDIATELY after we even get it in our queue. I cussed someone out in the chatbox and that pretty much put a stop to that. Tied for my favorite is when a tech sends an off brand used car through and before I can even have time to copy and paste the VIN into autozone, its already approved AND THEN the sales manager asks THE TECH in the chat box how much such and such is and ive had to hold back typing so many times "well if you'd give me more than 30 fucking seconds to look something up for an off brand car that I dont have access to the OE catalog to, youd have it right in fucking front of you"

2

u/tingle92 2d ago

User error. Bring it up to the service manager with examples. Your advisors need to be trained on how to use your system.

3

u/Successful-Fault-838 2d ago

We have them send back quotes that have been done, billed, jobs done and the customer has cashed out and left.

2

u/BatmanTaco 2d ago

Yours too? 😂

u/Successful-Fault-838 2d ago

Every f-ing day.

Xtime is the biggest joke, I'm glad we are not forced to use it anymore by Hyundai

1

u/BatmanTaco 3d ago

We got bought out in February last year, our new owner wanted to get us on my karma or whatever the name is (hes the GM and has ownership stake (I BELIEVE) in the local BMW/MB dealer) but Kia wouldnt let him bring that in so we have to use xtime

1

u/Feral_Mood_420 2d ago

Hyundai just allowed us to use something else earlier this year, we switched to the shit built into the dms back in March/April

1

u/Sikendo 3d ago

Another fellow Hyundai parts seller! Good to see them in the wild! If it gets sent to me I send that shit right back to them if they sent it back as if they’re sending an estimate. If it’s sent to the approval side I call and try to figure out what their problem is.

1

u/BatmanTaco 3d ago

Kia but tomato tomahto essentially

1

u/Sikendo 2d ago

Ah hell, I saw what looked like palisade part numbers on the picture you posted

1

u/rippleinthefabric 2d ago

I unfortunately live in xtime. This used to happen constantly, ended up being a system error so my boss sat on the phone for 2+ hours one day and they fixed it.
